This policy explains how Essential Fire Protection Training collects, uses, and protects your personal information when you use the training portal at training.essentialfireprotection.com.au.

Essential Fire Protection Training is operated by Essential Fire Protection (ABN 82 135 123 054).

What we collect

We collect the following personal information when you use the portal:

  • Account details — your name, email address, and password when you create an account.
  • Purchase information — what you bought, when, and the amount paid. Your payment is processed by Stripe. We do not see or store your card number.
  • Training records — which courses you have accessed, your progress through lessons, assessment results, and completion dates.
  • Certificates — your certificate of completion details, including the unique verification code and issue date.
  • Contact form messages — your name, email address, phone number (if provided), and the content of your message when you use the contact form.
  • Organisation details — if you manage training for a team, the organisation name and the learners you assign.

How we use it

We use your personal information to:

  • Provide access to the courses you have purchased.
  • Track your progress and record your completion.
  • Issue your certificate of completion.
  • Send you a refresher reminder when your training is due for renewal.
  • Process your payment and provide purchase records.
  • Respond to your enquiries.
  • Manage team training credits and learner assignments on behalf of your organisation.

We do not use your personal information for marketing unless you have separately opted in. We do not sell or rent your personal information to anyone.

Who we share it with

We share your personal information only where necessary to operate the portal:

  • Stripe — to process payments. Stripe’s privacy policy is at stripe.com/au/privacy.
  • WP Engine — our hosting provider, which stores the portal and its data. WP Engine’s privacy policy is at wpengine.com/legal/privacy.
  • Your organisation manager — if your training was purchased by an organisation, the manager who assigned you can see your course progress and completion status.

We do not share your information with any other third parties unless required by law.

Cookies

The portal uses cookies that are necessary for it to work:

  • Login cookies — keep you signed in while you use the portal. These are removed when you log out or expire after two weeks.
  • Cart cookies — remember what is in your cart during a purchase. These expire after a few days.

We do not use advertising or tracking cookies.

How long we keep it

We keep your information for as long as you have an account, plus any additional period required by law or needed to resolve disputes.

Completion records and certificates are kept permanently. They are training records and are not deleted, even if you retake a course or close your account. This is so your certificate can always be verified and your training history is preserved.

Your rights

You can:

  • Access your information — log in to view your account details, training records, and certificates at any time.
  • Update your details — edit your name and email address in your account settings.
  • Request a copy — ask us for a copy of the personal information we hold about you.
  • Request deletion — ask us to delete your account and personal information. Completion records and certificates are excluded from deletion because they are permanent training records.

Security

We take reasonable steps to protect your personal information from misuse, loss, unauthorised access, and disclosure. The portal uses HTTPS encryption, passwords are stored securely, and payment is handled by Stripe so we never hold your card details.

We may update this policy from time to time. The current version is always available on this page with the date it was last updated.
